Who can see my meeting notes?

Meeting notes in Bubbles are shared automatically based on your Notetaker settings. You decide whether notes and summaries are shared only with you, or with everyone invited to the meeting.

TL;DR

Bubbles automatically saves meeting notes and AI summaries when your Notetaker is enabled.

You can control who can see those notes in the “Share recordings with” section of your Notetaker settings.

Default visibility options

In Settings->Notetaker settings, scroll to Share recordings with.

You’ll see two options:

1.All meeting invitees (default)

Everyone invited to the calendar event receives access to the meeting recording, summary, and action items even if they didn’t attend. This makes it easy for teams to stay aligned.

2. Just me

Only you (the meeting organizer or Notetaker owner) can view the notes and recording. Others won’t receive emails or links unless you share them manually later.

Where to check or change this

Changes apply to all future meetings that your Notetaker records.

Privacy and data protection

  • Meeting recordings and notes are stored securely in your workspace.

  • Only people with explicit access (through sharing or your settings) can view them.

Good to know

  • Workspace admins may enforce default sharing policies across your team.

  • You can manually share or unshare any recording after the meeting.

Still stuck?

If you’re unsure who received your meeting notes or want help setting the correct privacy options, email [email protected] with your workspace name and meeting details. The support team will review your setup and guide you through adjusting access.
