Why did Bubbles join my meeting automatically?

Bubbles joins meetings automatically when they match your Auto Join preferences. If this happened unexpectedly, it usually means your connected calendar and meeting settings triggered the bot to join.

First, a quick heads-up

  • Bubbles will auto-join when:

    • Your calendar is connected to a Bubbles account.

    • Auto Join is enabled in your settings.

    • Meeting matches auto-join preferences. See How Auto Join preferences work for details.

    • The meeting invite has 2+ participants (including the organizer).

    • The invite contains a valid join link from a supported platform (Zoom, Google Meet, Microsoft Teams, GoTo Meeting, or Webex).

    • Another participant in the same meeting has Auto Join enabled in their workspace.

Step 1: Check your own account settings

Step 2: Check if it’s someone else’s account

  • If you didn’t set up Bubbles, the organizer or another participant had Auto Join enabled.

  • Ask your team if anyone is using Bubbles for meeting productivity.

Step 3: Check workspace-level settings

  • Your organization might have enabled Bubbles for team meetings organization-wide. Contact your workspace admin to confirm.

Step 4: How to control Auto Join

  • Option 1: Stop future auto-joins (keep calendar connected):

    • Go to Settings → Notetaker.

    • Toggle Auto Join OFF.

  • Option 2 : Disconnect calendar completely:

    • In Notetaker Settings, click Disconnect Calendar.

    • Click Save.

  • Option 3 : Remove during a live meeting:

    • When the bot joins, it sends a direct message with a removal link.

    • Click the link to stop recording immediately.

    • You can choose to delete the recording or save what has been captured so far.

Good to know

  • If you'd like participants to be notified when Bubbles records, make sure you enable the "Send a friendly chat message with a removal link" settings at Settings > Notetaker > In meeting message.

  • Anyone with access to the recording can view, comment, or delete it.

  • You can change who has access via Settings > Access and Sharing

  • After a meeting is recorded, you’ll receive

    • Full meeting transcript

    • AI-generated summary

    • Extracted action items

    • Key discussion points, etc via email and app.usebubbles.com.

If you’re unsure why Bubbles joined your meeting:

  • Try logging in at app.usebubbles.com with your work email to check your account settings.

  • Ask your meeting organizer or admin if they have Auto-Join enabled.

  • If the issue continues, email [email protected] with:

    • Date & time of the meeting

    • Meeting link

    • Your workspace name

The support team will review your account settings and help you resolve it.
