TLDR
Bubbles auto joins meetings from calendar events if the below conditions are met:
Your calendar is connected.
Auto Join is enabled in settings.
The meeting invite has at least 2 participants (this includes the organizer)
The meeting invite has a valid meeting link from a supported platform (see below).
If the meeting has a waiting room, the Bubbles Notetaker bot will also have to be admitted by the meeting host.
Step 1: Check meeting requirements
Participants: The calendar invite must include at least 2 participants, including you as the organizer.
Meeting details: The invite must have a valid meeting link from a supported platform (Zoom, Google Meet, Microsoft Teams, GoTo Meeting, or Webex).
Step 2: Check meeting timing
The bot joins 1 minute before the scheduled start time.
It waits up to 20 minutes for at least one participant to join before starting to record.
If no one joins within 20 minutes after a meeting is scheduled to start, the bot leaves.
Step 3: Check your settings
First, go to Settings → Notetaker, then:
Confirm your calendar is connected.
Make sure Auto Join is toggled ON.
Review your Auto Join preferences (for example: meetings you organize, meetings you’re invited to, recurring meetings, etc.). See How do the different Auto Join preferences work? for details.
Step 4: Check platform-specific issues
If waiting rooms/lobbies are enabled (Zoom/Teams/Google Meet, etc), the bot needs to be admitted. Admit it manually or adjust settings in your meeting platform.
Confirm you’re on a supported meeting platform: Zoom, Google Meet, Microsoft Teams, GoTo Meeting, or Webex
Step 5: Try manual recording
If you’d rather record meetings manually:
Ensure you’re logged into Bubbles then go to App > Notetaker
Paste your meeting link into the field at the top.
The bot will join within ~20 seconds.
Step 6: Try the browser extension (alternative option)
For quick ad-hoc recording, install the Bubbles Chrome or Edge extension from the Chrome/Edge web store as an additional way to capture your meetings.
Good to know
The bot will not join if the invite lacks participants or a valid link.
Ongoing recordings continue unless manually stopped.
Manual recording and the browser extension work even if Auto Join is turned off.
